Use this buyer RFQ preparation framework to prepare a clearer RFQ, compare supply options and reduce avoidable changes between sampling, quotation and shipment.
Core principle: A usable RFQ separates mandatory acceptance criteria from preferences and states the destination, certification, quantity, pack and commercial term.

Field-by-field guidance
- Product and form — state whole or ground, grade and any variety, not just the crop.
- Intended use and destination — these drive certification, testing and labelling.
- Certification — name the programme (EU, USDA and so on); “organic” alone is ambiguous.
- Specification and limits — separate mandatory limits from preferences.
- Quantity and forecast — the first order and the annual view affect price and MOQ.
- Incoterm — always name the port and version, for example “FOB [named port], Incoterms 2020”.
